Power Point - Best Practices
If you’re making a presentation in class, and would like to use audio/video equipment (such as a LCD projector and computer for a PowerPoint presentation), the following applies to you.
Booking equipment
In order to schedule the use of audio/video equipment for classroom presentations at King’s University College, please complete the IMS Request form at www.kucits.ca/ims_request/ at least two business days before your event.
Submitting the IMS Request in a timely manner is in your best interest. This ensures that a member of the ITS team will be at your classroom a few minutes before the time you specify on the form to assist you with equipment set-up and answer any questions you may have. If you do not submit an IMS Request form, the classroom equipent may not be accessible.
Equipment Set-up
The equipment will be setup a few minutes before your class begins. Set-up only takes a minute or two, but if you would like the equipment set-up earlier, please ensure that the room is available before your class by calling Sandra Noseworthy at (519) 433-3491, extension 4305. Please indicate on the IMS Request form that you have checked the room’s availability if requesting an early set-up.
Using your own laptop
You are able to use your own laptop to make presentations at King’s in conjunction with the school’s LCD projectors. When using your own laptop, you will be able to access the wireless Internet within the classroom provided you have a valid UWO username and password. You will also be able to easily connect your laptop’s audio to the in-class audio system using the cable provided in the classroom.
Information for Mac users
Most Mac laptop computers require a VGA adapter in order to connect to the in-class LCD projectors. This situation is not unique to King's.
The type of adatper needed depends on the model of Mac you have. VGA adapters for Mac laptops can be purchased from the Campus Computer Store or any other Mac dealer for about $35. Since there are a number of different types of adapters, it is highly recommended that students bring their own adapter with them when making an in-class presentation. However, subject to availability, King's can provide the required adapter. If the use of a Mac VGA adapter is necessary, please contact Corey Cooke at 519-433-3491, ext. 4387.

PowerPoint tips:
Saving:
Do not save your PowerPoint file to a floppy disk. Floppy disks are obsolete, unreliable and fail often. Instead, burn your file to a CD, e-mail the file to your own web-based e-mail account (for example, Hotmail, Gmail or UWO Webmail), or use a USB memory device. If you chose to e-mail the file to yourself, you will be able to access your e-mail within the classroom and download the file. It is a good idea to use at least two of these suggested methods of transporting your files. In other words, burn the file to a compact disk AND e-mail the file to yourself as a back-up precaution.
Using audio/video files within PowerPoint:
If you intend to use audio or video files within your PowerPoint presentation here at King’s, simply saving the file will not include your audio and video files. In order to ensure that the audio and video is captured along with your PowerPoint file, you will need to use the “Pack and Go” or “Package for CD” option under the “File” menu of PowerPoint. For instructions on how to do this, please see the following link: http://office.microsoft.com/en-us/assistance/HP052727561033.aspx.
Alternatively, you may include links to YouTube videos or other on-line content without having to use the “Package for CD” or “Pack and GO” options.
