Web Content Policy and Guidelines
Procedures for submitting page content or updates to existing web pages:
Content owners may send page content and supporting files to kucweb@uwo.ca and confirmation of receipt will be issued. In the case of extremely large file sizes which cannot be accommodated by the UWO mail server, files may be sent directly to the ITS FTP server. FTP accounts can be created for all content owners. Page content must be submitted electronically, by either disc or email. The information may be provided in Word, WordPerfect or plain text. HTML is not required. Formatting will be done by the web team as necessary.
Creation of a new web site, new pages or major changes to the existing site:

Gather content* and submit it for approval to the appropriate administrative person in the office.

Submit a request for the new web project to ITS with the pre-approved content to review the project scope and establish an estimated completion time.

The request should include desired functionality, site objective, images, target audience (public or intranet), content and workflow approval process if applicable.
* Content is defined as information that is independent of site graphics and design. This includes text documents, instructions, announcements, terminology, and policies and procedures. It also includes photos, data, links and forms.
Guidelines for all web pages:

All web pages must comply with W3C Web Content Accessibility Guidelines. (http://www.w3.org/)

All content to be posted on the College web site must have an owner who is an employee of the College and is responsible for the content.

Any recommendations or requests not submitted by content owners will be forwarded to the appropriate content owners for processing.

All content must be submitted with a reasonable amount of time prior to posting.

Submissions must include relevant information regarding priority, including special announcements and notifications concerning the posting. ITS reserves the right to prioritize user requests.

Existing design standards must be adhered to. ITS provides the standards and technology, and will support and assist users with updating their content.

Content owners must fact check, spell check and grammar check all documents prior to submission for posting. Content owners will not infringe on third party intellectual property rights, including copyright or trademark.

When ITS reformats content in order to web enable it, the document will be compared to the original to ensure the only changes that appear are intentional. Content owners will review the new posting and promptly notify ITS of any changes from the original document.

Use of photographs is encouraged and copyright rules and regulations must be followed where appropriate
